The Biointerfaces Institute (BI) within the University of Michigan is seeking a highly motivated and organized individual to join our team as an Administrative Assistant Senior.
The Biointerfaces Institute was established in 2012 to create a new blueprint for biomedical research that encourages out-of-the-box thinking, drives innovation, accelerates the path from basic research to real-world health outcomes, while serving as an ideal training site for the next generation of scientists and thought leaders. BI is currently home to 30 research groups comprised of more than 300 students and researchers from the School of Dentistry, the College of Engineering, the School of Medicine, and the College of Pharmacy, collocated in over 56,000 square feet of dedicated, state-of-the-art facilities at the North Campus Research Complex.
The Administrative Assistant Senior will provide high-level, responsible administrative support for the Director and the Managing Director’s research- and operational-related activities. This position requires an individual to work independently with a high degree of accuracy, professionalism, and confidentiality in a fast-paced work environment. Responsibilities require advanced technical skills using the Google suite (including calendaring, email, and G-drive) and Microsoft Office products (including Word, Powerpoint, and Excel). S/he/they must be an excellent communicator (both written and verbal), an effective listener, and be willing to work on special projects within the Biointerfaces Institute.
- Perform diversified and confidential administrative and secretarial support for the Director and the Managing Director. Tasks will vary based on needs and priorities and will include professional support with managing calendars, scheduling meetings, planning events, symposiums, and retreats, organizing travel and schedules, processing reimbursements, and coordinating communications with internal BI leadership (e.g., Executive Committee) and external BI stakeholders (e.g., University of Michigan Deans, External Advisory Board).
- Lead event logistical planning and support for virtual and on-site programs including room reservations, set up and clean up, meeting materials, catering orders, event execution, hosting visitors, and other support as requested by the Managing Director.
- Generate procurement forms such as PeoplePay, Non-PO Vouchers, Cashier's Receipts, Requisitions, etc.; track financial expenditures; reconcile purchasing cards; help with journal submissions; and process reimbursements via the Concur system.
- Provide general administrative services for the efficient and effective daily operations of BI including reception duties; organizing, procuring, and maintaining supply room and kitchen; sorting mail; reserving and maintaining conference rooms; and printing, scanning, and mailing documents and materials as needed.
- Prepare spreadsheets, organize data, and track information using Excel; Assist by monitoring reports, compiling summaries, and drawing attention to important trends or issues; Maintain the BI publication and PhD oral defense databases.
- Provide BI students, staff, faculty with research support services including building access, NCRC labor requests, plant operations work order, parking, procurement of supplies and equipment.
- Assist with BI correspondence and communications as needed.
- Special assignments and projects as needed.
- Other duties as assigned.
- Bachelor’s degree and 2-3 years of recent administrative experience or equivalent combination of education and experience.
- Excellent organizational and multitasking skills and an ability to work independently and to exercise judgment in setting priorities.
- Demonstrated ability in handling confidential materials and situations with sensitivity and discretion.
- Proven ability to be responsible for fulfilling requests with accuracy and completeness; must be productive and flexible under pressure and able to meet deadlines.
- Excellent communications skills with a strong customer focus and an ability to interact with individuals of diverse backgrounds
- Proficiency in Adobe, Google Suite and Microsoft Office Suite (specifically Excel, PowerPoint, and Word).
- Evidence of creative spark and initiative, accountability, discipline, and integrity
- Prior work experience working in an academic institution.
- Familiarity with M-Pathways financial system, Concur and University policies, procedures, and regulations.
STARR Classification
This position is classified as an On-site position in the STARR program. Because this position is responsible for the front desk reception of the Biointerfaces Institute, the schedule includes working in the office Mondays – Thursdays and working remotely on Fridays (subject to change). 40 hours per week, 7:30 – 4:00 pm
