The Executive Coordinator (EC) reports to the President of the University and is responsible for the day-to-day operations of the Office of the President including sophisticated calendar management, travel logistics and billing/reimbursement. This position is responsible for coordinating administrative and support services and proactively tracking on and creating agendas and associated materials for a range of internal meetings. The EC is also responsible for reconciling the office’s annual budget, proposing adjustments/changes as needed, proposing specific purchases, and processing reimbursement requests from office staff. The EC also serves as the project lead for any number of ad hoc projects assigned by the President and team and will support the work of the team by developing presentations, drafting correspondence and, as needed, joining high level meetings to aid in tracking on next steps.
In representing the President and the University, this position requires superior communication skills and the highest level of organization, diplomacy, judgment, and discretion.
• Bachelor’s degree with 2 years of experience in a related field or Associate degree with 5 years of experience in a related field. • Computer literacy required: MSWord, Excel, PowerPoint, Outlook, and standard MS suite. • Appetite for a fast-paced and growing organization. A learning mindset and a sense of humor. • Must be motivated to learn and flexible to change. • Excellent written and verbal communication skills required. • Must be creative and proactive, able to streamline work volume in order to maintain bottom line efforts in midst of multi-tasking and daily re-prioritizing. • Demonstrated ability to work independently and as part of a team in a fast-paced, deadline-driven environment. • Must be able to evaluate problems accurately and display good, sound, and confidential judgment.
• Bachelor’s degree with 3 years of work experience in a related field or Associate degree with a minimum of 6 years of work experience. • Experience in non-profit and/or academic setting • Demonstrated ability to innovate, think strategically and conceptually, manage multiple projects simultaneously and handle difficult situations with a diplomacy and composure. • Able to work effectively with internal and external constituencies in a University environment.
