POSITION OVERVIEW: Located on the Duluth campus of the University of Minnesota, the person serves as the Chief of Operations for the College of Pharmacy Duluth Campus. The individual is primarily responsible for the supervision, oversight, and vision/mission execution of the administrative operational portfolio of the College of Pharmacy, Duluth Campus. In addition the individual will work with Pharmacy Practice and Pharmaceutical Sciences (PPPS) departmental leadership to coordinate, support and oversee departmental activities. The individual will work to support specific strategic, academic and administrative initiatives on the Duluth Campus working with both independent judgment and as part of the Duluth campus and College wide executive teams. PLEASE NOTE: This is currently a work from home position.
KEY RESPONSIBILITIES 30% Administrative Executive Team Lead - Serves as the first point of contact for constituents of the College of Pharmacy on the Duluth Campus. Must utilize independent judgement, diplomacy, and executive decision-making to triage communications and what needs to go to the Sr. Associate Dean, Department Head, or others in the Duluth Campus College of Pharmacy or can be delegated elsewhere.
- Represents the College and Department to other units on campus.
- Develops and maintains relationships with internal and external constituents including administrators, contractors, and students
- Coordinates and shares, institutional knowledge (i.e., university/college policies and procedures, resources, campus/college operations) and administrative expertise to College and Department faculty and staff.
- Provide executive support to collegiate advisory boards and select committees. Field and respond to requests to the Sr. Associate Dean and PPPS department head from academic units and administrative offices. Coordinate interactions with the Sr. Associate Dean’s Office, managing referrals and following up with inquiries.
- Work with Faculty Affairs staff to assist with support for College Assembly.
30% Supervisor and Administrative Operations - Meet regularly with the unit leads (PED, DSPA, Communications), the PPPS department head, PPPS associate heads and the Sr. Associate Dean to assure the collegiate administrative operations are running efficiently and are effectively meeting the needs of all clients on the Duluth campus.
- Provide direct supervision to the main office staff, including one staff and 1-2 workstudy students
- Facilities: Building Space, Facilities, and Equipment Lead:
- Collaborates with TC facilities manager to oversee complex building renovations, space utilization, office and building moves, offsite storage, key control, and facilities requests for the CoPD.
- Represents the CoPD on the University of Minnesota Duluth Facilities Committee
- Manages procurement and usage of furniture and equipment in alignment with budgets and College/University policies and procedures
- Fiscal: Partners with leadership to support budget development and stewardship of fiscal resources for the Duluth campus. Works with TC fiscal leads and the CFO to ensure efficient and effective fiscal operations on the Duluth campus.
- Communications: Manages and promotes College and Department news and announcements and provides information to various sources/media including but not limited to the Director of Communications on the TC campus
- Determine how our operations best leverage existing University and departmental resources and proceed accordingly.
- Develops and implements procedures to facilitate efficiency within the organization
20% Strategic Planning - Lead and impact specific academic and administrative initiatives that advance the mission and/or operations of the CoP Duluth Campus and align with broader University strategic plans and/or areas of focus. This requires identifying the goals of engagement, building relationships within and without the institution to help meet those goals, creating the appropriate (infra)structures to accomplish those goals, and leading/shepherding the process for success.
- Serve as project manager for key strategic initiatives that are coordinated on the Duluth campus
- Monitor and summarize progress on the PPPS strategic plan as well as on key initiatives in the College-wide strategic plan that are coordinated in Duluth.
20% Support Leadership on the Duluth Campus - Manages promotion and promotion & tenure processes for contract and tenure-track faculty in PPPS
- Develops and leads faculty annual review process for PPPS
- Develops and manages teaching and service workload analyses for PPPS faculty
- Manages or oversees supervision of complex calendars, meeting logistics, and travel for Senior Associate Dean and Department Head
- Coordinates logistics and programming for College and Department meetings and events on the Duluth Campus
